Privacy Policy

1. Information We Collect

Account Information: Name, email address, school or organization name, and role when you create an account.

Intake Data: Answers to intake questions, voice recordings, uploaded documents, and profile information you provide to personalize your AI agent.

Usage Data: Generation history, feedback signals (thumbs up, edited, thumbs down), feature usage patterns, and session timestamps.

Payment Data: Billing information processed securely through Stripe. Conduit does not store credit card numbers directly.

Voice Recordings: Audio recordings you choose to provide are transcribed via OpenAI Whisper and stored to improve your personalized experience. You may request deletion at any time.

2. How We Use Your Data

• To generate personalized AI outputs tailored to your profile and preferences
• To maintain your knowledge ledger and track what topics have been covered
• To improve output quality based on your feedback signals
• To send proactive suggestions and milestone notifications
• To process payments and manage subscriptions
• To improve the Platform using anonymized, aggregated data

We do not sell your personal data to third parties. We do not use your data to train AI models outside of your personalized agent experience.

3. Data from Minors — Educational Context

COPPA Compliance: Condifi products that operate in educational contexts (including Maestra) may process information about students provided by their teachers. This data is handled with the following protections:

• Student information is provided by teachers (adults), not collected directly from minors
• Student names may appear in intake answers and generated lesson plans solely for personalization purposes
• Student patterns (e.g., learning style observations) are stored in anonymized form and used only to improve lesson plan quality
• No student data is shared with third parties, used for advertising, or sold
• Teachers may request deletion of all student-related data at any time
• Student data is never used to build profiles of individual minors outside of the educational context

Parents or guardians may contact us at privacy@condifi.ai to request review or deletion of any student data associated with their child’s classroom.

4. How We Store Your Data

Your data is stored in Supabase (hosted on AWS) with row-level security enabled. API keys and secrets are stored as environment variables and never committed to source code. All data transmission uses HTTPS encryption.

Voice recordings are stored in secure cloud storage with access restricted to your account. Generated content is stored in our database and associated with your client profile.

5. Third-Party Services

We use the following third-party services to operate the Platform:

• Anthropic (Claude): AI generation. Your prompts and intake data are sent to Anthropic for generation. Anthropic does not use API inputs for model training.
• OpenAI (Whisper, DALL-E): Voice transcription and image generation. Audio and prompts are sent to OpenAI for processing.
• Supabase: Database and authentication hosting.
• Stripe: Payment processing.
• Vercel: Application hosting.
• Sentry: Error monitoring (no personal data transmitted).
• Resend: Email delivery.

6. Your Rights

You have the right to:

• Access: Request a copy of all data we hold about you
• Correction: Update or correct your intake data at any time via your profile
• Deletion: Request deletion of your account and all associated data
• Export: Request an export of your data in a portable format
• Opt-out: Disable proactive notifications, email nudges, or voice recording features

To exercise any of these rights, email privacy@condifi.ai. We will respond within 30 days.

7. Data Retention

We retain your data for as long as your account is active. Upon account deletion, we remove all personal data within 30 days, except where retention is required by law or for legitimate business purposes (e.g., billing records).

Anonymized, aggregated data may be retained indefinitely for platform improvement purposes.

8. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email or in-app notification at least 30 days before taking effect.
